5. Circle Journals. The same basic rules as Swaps apply.

The Organizer must fill out this form and PM it to scrappybunny (http://www.ukscrappers.co.uk/boards/private.php?do=newpm&userid=28) (who is taking care of CJs in Lily_My_Lovely (http://www.ukscrappers.co.uk/boards/private.php?do=newpm&userid=1609)'s absence). You may cut and paste the form into your PM then fill it out. CJs do not need approval, like swaps but, as with swaps, UKS recommends specifying a minimum Marketplace/Swap rating and length of membership/post count to minimise potential problems.

To host a CJ you must have participated, and received a postive trader rating for taking part, in a Cj hosted by someone else.

Form:

1. CJ Name and Description
2. Organizers UKS Name (and real name)
3. Sign up deadline
4. Schedule for exchange (completion date in red please!)
5. Rules for mailing:

for 4: Use a clear schedule description -- list the actual dates, not “every other week” or “the first Monday” so there can be no mistake.

for 5: It is heartbreaking for everyone when a journal goes missing or someone refuses to send it on. Despite the added expense, the posting rules should include gaining Proof of Posting at the very least, and may include First Class mailing only, at the organizers discretion

Again, the CJ organizer should maintain the address and phone number list, not use the RAK list to manage the circle. Ask the members to email or PM you the info. This info is NOT intended to be posted on the boards, just maintained by the organizer.

CJ threads, because journals get mailed over and over again, should be updated by the organizer after every posting. If you are going to be delayed by a holiday or an illness, contact the organizer so she can post in the thread. The organizer should update the original post with where every journal is after every posting date.

Avoiding problems: If a journal seems to have gone missing, the person who mailed it must scan and email the Proof of Posting to the organizer. If a participant does not have a Proof of Posting, or does not alert the organizer to a problem, then the onus is on the organizer to stop any further CJs from being sent to that person until the situation is resolved. If, however, the mailer has POP and the journal does not arrive, then it will be considered lost in the mail and a sad but unavoidable situation where the blame can only be placed on Royal Mail.

A poor Marketplace/Swap rating should be added by the organizer after every effort has been made to resolve things.

As with swaps UKS WILL NOT intervene in CJ disputes.

Those who are new to CJs from now forward will be limited to 1. As the exisiting CJs complete, 3 CJs and 3 Swaps will become the rule, with the understanding that if you are in 3 and want to be in more you must contact the organizer of each CJ and if they accept you it becomes their decision and their responsibility to ensure all things run smoothly. They probably should check with the participants to see if they are happy with someone doing 10 CJs to join their group (since, face it, the more you are doing the more likely it is there might be a problem with mailing dates, holidays, unexpected illness, etc)
